How N-Works 3D handles the personal data you share through this website and our quote tool.
Yves De Boitselier, trading under the name N-Works 3D, is the controller of the personal data collected through this website. N-Works 3D is a Belgian sole proprietorship and has no legal personality separate from the trader.
Through the contact form or by email, we collect only the data you provide yourself: your name, company, email address, phone number and the content of your question.
We use that data to answer your question, prepare a quote and prepare or perform the cooperation. The legal basis is the performance of a contract or steps at your request prior to a contract (art. 6.1.b GDPR) and our legitimate interest in answering business enquiries (art. 6.1.f GDPR). The contact form sends your name, email address and message through our server and our email service provider as an email to info@nworks3d.be; you receive an acknowledgement of receipt by email. The form itself stores nothing in a database; we keep the email as described in section 6.
When you place a request or order through our quote tool, we additionally process: your name, company and VAT number (where applicable), address and contact details, the files you upload (3D models such as STL or STEP), your order details (material, quantities, specifications) and the payment and invoicing data of your order. The legal basis is the performance of the contract or steps prior to its conclusion (art. 6.1.b GDPR), compliance with legal obligations such as accounting requirements (art. 6.1.c GDPR) and our legitimate interest in securing and improving our service (art. 6.1.f GDPR).
When you send a request, the tool also records that you accepted the general terms: the moment, your IP address at that time, and the version of the text you were shown. The same is recorded again when you pay or confirm the quote. This is done so it can later be established which terms applied to your request and your order. The legal basis is our legitimate interest in being able to evidence our legal position (article 6.1.f GDPR). These data are kept together with the order.
If you pay online, the payment is handled by our payment provider Mollie (Mollie B.V., the Netherlands); Mollie processes your payment data as an independent controller under its own privacy policy. If you select a third-party payment method on the Mollie checkout page, such as PayPal, that party also processes your payment data under its own privacy policy. We never receive card numbers ourselves. The quote tool and its data run on our own infrastructure in Belgium (the traffic to it passes through Cloudflare, see section 5); for production follow-up, order data is shared internally with our production system.
Transactional emails about your request or order (quote, invoice, status updates) and the acknowledgement of the contact form are sent through our email service provider Brevo (see section 5). Brevo adds an invisible image (a tracking pixel) to every email and routes the links in the email through its own server; this is how Brevo records whether an email is opened and whether a link is clicked. We use this data only to monitor the delivery of our emails, not to follow or profile you. If you want to avoid the tracking pixel, set your email program not to load images automatically. The legal basis is our legitimate interest in reliable delivery of our emails (art. 6.1.f GDPR).
A file you upload but never send as a request is automatically deleted within 24 hours. Once you send it, it belongs to your request: requests and quotes that do not lead to an order are erased 30 days after the quote date, together with their files. Orders and accounting records such as invoices are kept for as long as the law requires: seven years, counted from 1 January of the year after the invoice (see section 6). You can exercise the rights in this policy for this data as well.
The delivery address you enter is checked on our own server against official open address lists (see point 9). This happens locally: your address is not sent to any third party for the check. If we cannot find the address, we only ask whether it is correct; you can always send your request. While you type your street and house number we offer suggestions from the same lists; this also happens on our own server, and what you type is not stored for it.
This website uses no tracking cookies, no third-party analytics and no advertising networks. The site and the quote tool store only functional values in your browser: your language choice (nworks_lang), the material the material selector recommended (nw3d_materiaaladvies, 7 days), your choice of business or consumer (until you close the tab) and the contents of your basket (nw_shop_cart). These values are technically necessary and require no consent. No data is shared with third parties through cookies.
To count how many people ask for a price and how many of them order, our server makes a code from your IP address and browser that is only valid on that day, using a key that is deleted every night together with the codes. The IP address is not stored for this count and the count places nothing on your device. Of the count itself, only daily totals remain; backups follow their own retention period. A link in an advertisement can carry a source label (for example 'bron=google'): we count per source how many people ask for a price, order and pay, and we store the label with the daily totals and, when you order, with your order. We use the label only for those counts, not to identify you or for marketing in your name, and nothing is placed on your device. If your browser sends the 'do not track' signal (Global Privacy Control or Do Not Track), you are not counted. Legal basis: legitimate interest (art. 6.1.f GDPR).
Your data is not sold and not shared for marketing. To run the email and the website we rely on a limited number of service providers (email and hosting). External links, such as to YouTube or the quote tool, open an external service only when you click them yourself.
For quotes, orders and invoicing, your data may also be shared with our accountant, our accounting software and, where applicable, with shipping and payment providers. If you are a VAT-registered business established in Belgium, we send your invoice through the Peppol network as the law requires: the invoice data then passes through certified Peppol service providers to your company's accounting software.
Traffic to this website and the quote tool passes through Cloudflare (Cloudflare Inc., USA), which secures the connection and in doing so also passes on your form data and uploaded files; the transfer relies on the EU-US Data Privacy Framework.
The emails that our website and quote tool send go out through Brevo (Sendinblue SAS, Paris, France), which acts as our processor. Brevo stores the data in the EU (France and Belgium). For maintenance and support, companies of the Brevo group and Brevo's subprocessors, including in the USA and India, may access it; that transfer relies on the European Commission's standard contractual clauses or on the EU-US Data Privacy Framework.
Our email passes through Cloudflare (Cloudflare Inc., USA), which forwards the messages as our processor without storing their content. Our mailbox is a Gmail account from Google (Google Ireland Limited, Ireland); Google processes the emails in it under its own terms and privacy policy and may also process them in the USA (Google LLC). The transfer to the USA relies on the European Commission's adequacy decision for the EU-US Data Privacy Framework (Decision (EU) 2023/1795, art. 45 GDPR), for which Cloudflare and Google are certified.
We keep your data no longer than necessary. Requests and quotes in the quote tool that do not lead to an order are erased 30 days after the quote date. Questions by email or through the contact form that do not lead to an order are kept for up to twelve months; the same applies to the emails about a request. Order data and accounting records such as invoices and credit notes are kept for as long as Belgian accounting and tax law requires: seven years, counted from 1 January of the year after the last invoice, credit note or payment for that order. An order invoiced in 2026 is therefore kept until 31 December 2033. After that we erase its personal data.
You have the right of access, rectification, erasure and restriction of your data, the right to object to the processing and the right to data portability. Send your request to info@nworks3d.be. We respond within one month of receiving your request (art. 12.3 GDPR); for complex requests this period may be extended by two further months, of which we inform you within the first month.
Whether providing data is required: providing your data is not a statutory obligation, but it is necessary to prepare a quote and to enter into and perform an agreement. If you do not provide it, we cannot handle your request.
No automated decision-making: no automated decision-making producing legal effects or similarly significant effects within the meaning of article 22 GDPR takes place. The quote tool calculates a price automatically, but a person reviews every request before a quote follows.
Right to object: where we process your data on the basis of our legitimate interest (art. 6.1.f GDPR), you have the right to object to that processing at any time, on grounds relating to your particular situation. To do so, email info@nworks3d.be.
If you disagree with how we handle your data, you may lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be, gegevensbeschermingsautoriteit.be.
We take reasonable measures to protect your data. This policy may be updated. The date of the last change is shown below.
The address check in the quote tool uses open data. We keep a local copy and renew it regularly.
